Challenges.
The "Excel Bottleneck": The operation had outgrown manual tracking, relying on fragmented spreadsheets and manual data entry, which led to significant errors and lost data. Onboarding Friction: Client onboarding was handled via disjointed WhatsApp messages, requiring staff to manually copy and paste details—such as client names, billing info, and service types—into various logs. Document Fragmentation: Managing critical legal documents like KYC-forms, Powers of Attorney (PoA), and Engagement Letters was nearly impossible to track at scale.

SOLUTION 1: THE INTELLIGENT WORKSPACE (ERP) We engineered a custom ERP platform that serves as a centralized "Single Source of Truth," replacing all manual spreadsheets with dynamic, department-specific workspaces. Departmental Views: Separate dashboards for Legal and Accountancy teams allow each department to focus on relevant data, such as trademark statuses or success fees, within their own "Workspace". 360° Client Overview: A unified portal for every client featuring a complete activity log, document timeline, and real-time case status tracking (e.g., "Waiting for Invoice" to "Sent to Lawyer"). Smart Document Workflow: A built-in template engine automatically generates legal documents (KYC, PoA, Engagement Letters) based on captured data, featuring inline editing so staff can review and sign without leaving the browser. Role-Based Security: Strict Role-Based Access Control (RBAC) ensures sensitive data is only visible to authorized personnel, with full audit logs for every action. SOLUTION 2: THE WHATSAPP INTAKE NAVIGATOR To bridge the gap between communication and administration, we developed an AI-driven WhatsApp Data Pipeline that automates the entire intake process. Intelligent Extraction: The bot acts as an autonomous clerk, scanning chat patterns to extract client names, billing details, and specific fee structures (e.g., Attorney/Filing/Disbursement fees). Contextual Understanding: The AI understands corrections (e.g., "change the fee to 2000") and identifies the service type—whether it is an IP-registration or a fund recovery case. Autonomous Invoicing: Once the deal is finalized in the chat, the bot automatically creates the client dossier in the ERP and prepares the corresponding invoice for immediate processing. Noise Filtering: The system is programmed to ignore irrelevant chatter, focusing purely on business logic and escalating complaints or complex queries to human managers.
